The position of Accounts Receivable and Payable Analyst involves conducting operational analysis and reviewing financial transactions to find ways to improve processes, aid management in making informed decisions, and develop policies. The analyst will be responsible for building reports, streamlining payable and receivable operations, and identifying improvement opportunities. Additionally, the role will support the senior management and the department by monitoring, analyzing, and reporting critical data and upstream processes that impact accounts receivable and accounts payable. That said, the bulk of your working hours should involve you having to:

• Evaluate and verify documents for payment, ensuring accuracy and completeness.
• Process payments in a timely manner, following established guidelines and protocols.
• Collaborate with stakeholders to quickly and effectively resolve any discrepancies or issues that may arise.

• Manage all steps required for the completion and signing of all legal agreements, contracts, legal forms, statutory declarations, affidavits, board resolutions and/or any legal or company secretarial documentation. 
• Manage the filing, scanning, organisation, copying, saving and/or archiving of all such signed legal or company secretarial documentation.
• Manage, maintain and update the legal contract masterlist and corporate tracking list for all Teleport entities.
• Manage the Contract Management System or any other systems implemented or used by the department on behalf of the legal department, to ensure all legal documentation is easily accessible and retrievable at any time.
• Ensure that all agreement templates, deal checklists and general terms and conditions  are updated with the latest version for all Teleport entities, as required by the respective legal counsel.
• Assist Manager or General Counsel with extracting documents and data or preparation of documents or reports pursuant to audit exercises, reporting or quarterly compliance testing requirements.
• Manage stamping of agreements either online in LHDN website or hardcopy, as required.
• Prepare basic internal/external correspondences, letters, memo or legal online newsletters.
• Communicate with internal and external parties on behalf of the legal team,
• Other administrative, clerical and organisation support as may be assigned from time-to-time by the legal department including assisting with arranging meetings, securing meeting rooms, and procuring stationery or tools.

Qualifications:

• Diploma in Business Administration, secretarial or any other relevant certifications or qualifications OR at least two (2) years working experience in office or departmental administration work. Experience working in a legal department or law firm is an advantage.
• Solid written and verbal communication skills. Confidence in writing and speaking in English is an advantage.
• Able to work independently and as part of a team. Ability to identify issues and propose solutions.

• Drafting and reviewing various agreements and legal documentation including operational agreements, commercial agreements, procurement purchases, tenancy agreements, and corporate transactions agreements;
• Provide practical legal advice for the company operations and business arrangements; 
• Provide advice regarding any dispute resolution matters, regulatory or compliance matters, licensing considerations, corporate structures, etc.;
• Liaising and managing external counsels as and when required;
• Identify best practice contract structures, templates and samples we can reference;
• Manage internal governance document reviews, such as board papers, contract checklists, or related-party documents; 
• Monitor any updates on the laws and regulations relevant to the business 
• Prepare legal updates and conduct training and workshops for all employees with respect to Legal SOPs and legal requirements of the law ;

SKILLS

• Critical knowledge and skills, including software applications etc : High Computer proficiency: Google Suite, Word, Excel, PowerPoint, Outlook and calendar software; contract management database experience.

• Experience or ability in handling and responding effectively to issues arising in the fast-paced environment is required.

QUALIFICATIONS & EXPERIENCE

• Possess a valid and recognized legal degree from a reputable university and qualified to practise law in Malaysia.
• Minimum 3 - 7 years general commercial experience with a regional company, or major national or international law firm.
• Having experience in the transportation or logistics industry is a plus but not compulsory.  
• Experienced in commercial/transactional negotiations, particularly in cross-cultural, cross-border and multi-jurisdictional transactions.

• You will support the Cargo Operations Management team by providing them with reports, assist with station startups, involved with the ongoing projects & assist in vendor management.
• To monitor day to day operations at the aircraft and warehouse also prepare the daily operation report at the end of duty roster.
• To monitor any irregular shipment from station(s).
• To manually re-planning the cargo or revision and monitor build-up process in the warehouse.
• To monitor ULD’s utilization and maintain stock availability within operating networks / specification and ensure only serviceable ULD are used in cargo operation.
• To collectively work with the CTO and GHA to ensure cargo is build-up, load according to the plan and unload also to ensure on time as per stipulated time frame in the SLA to avoid delays or minimize the delays impact to OTP record as a whole.
• The supervisor to ensure appointed ground handler and contractors handling our cargo as per standard cargo operation requirements and any major anomaly that may jeopardize the safety and efficiency of operations must be reported to the management immediately.
• Responsible for checking at CBTO for any potential cargo misplaced by ramp into the CBTO area and arranging the cargo back to the cargo warehouse.
• End to end monitoring for shipments originating from China.
• Responsible for matching loads, scheduling shipments, ensuring on time pick-up and delivery, and maintaining positive relationships with 3PL providers.

The primary role is to provide professional customer service support via telephone or email correspondence, ensuring information furnished to guests are accurate and appropriate.

Reservations agents are also expected to work with affiliates and chauffeurs to ensure timely reporting in assignment. He/she will ensure data entry is seamless.

• Cargo sales to meet the targets, in terms of tonnage, yield, and revenue.

• Billing verification and payment tracking.

• Regular reports including but not limited to sales reports, performance reports, etc.

• Market info gathering and reports including but not limited to market data mining, market data analysis, etc.

• Stakeholders' relationship building and maintenance.

This role (based in New Delhi) reports to the General Counsel (based in Kuala Lumpur)

As a start-up, you can expect your days to be pretty varied. Multitasking is normal, and sometimes, your skills or natural talents will be leveraged to support other business priorities. That said, the bulk of your working hours should involve:

• Drafting and reviewing various agreements and legal documentation including operational agreements, commercial agreements, procurement purchases, tenancy agreements, and corporate transactions agreements;

• Provide practical legal advice for the company operations and business arrangements; 

• Provide advice regarding any dispute resolution matters, regulatory or compliance matters, licensing considerations, corporate structures, etc.;

• Liaising and managing external counsels as and when required;

• Identify best practice contract structures, templates and samples we can reference;

• Manage internal governance document reviews, such as board papers, contract checklists, or related-party documents; 

• Monitor any updates on the laws and regulations relevant to the business; 

• Prepare legal updates and conduct training and workshops for all employees with respect to Legal SOPs and legal requirements of the law ;

• Liaising and dealing with any government agencies and regulatory bodies; and 

• Support other functions or teams in the day-to-day operations of the Company.

SKILLS

• Strong  corporate and commercial legal background - whether in private practice or in-house experience, or both. General knowledge of company secretarial matters is an advantage. Understanding data protection is a plus but not compulsory. Confident negotiation skills.

• Fluency in reading, writing, drafting documents and communication skills in English is essential.  Strong fluency in local languages (Hindi or Tamil) or other Asian languages (writing and speaking) is essential for stakeholder management. Must be comfortable to speak fluently in English to a range of regional audiences about business and legal priorities. 

• Critical knowledge and skills. High Computer proficiency: Google Suite, Word, Excel, PowerPoint, Outlook and calendar software, and contract management database experience.

• A self-starter with the ability to work independently and initiate things with minimum supervision.  

• The ability to build trust and respect with other team members across multiple geographies as required.

• Experience or ability in handling and responding effectively to issues arising in the fast-paced environment is required.

QUALIFICATIONS & EXPERIENCE

• Possess a valid and recognized legal degree from a reputable university and qualified to practice as an advocate under the Bar Council of India.

• Minimum 6 - 8 years general commercial experience with a regional company, or major national or international law firm.

• Having experience in the transportation or logistics industry is a plus but not compulsory.  

• Experienced in commercial/transactional negotiations, particularly in cross-cultural, cross-border and multi-jurisdictional transactions.
