Finance Manager
Job Summary
We are looking for a Finance Manager to manage and oversee the daily finance operations of the company. This role is responsible for supervising the finance team, especially Accounts Payable and Accounts Receivable, ensuring accurate accounting records, timely month-end closing, proper reconciliations, cashflow monitoring, and compliance with internal controls.
The Finance Manager will report to the Finance Controller and act as the key person managing the execution of finance operations.
Key Responsibilities
Finance Operations
- Manage the daily finance operations of the company.
- Supervise and guide the Accounts Payable and Accounts Receivable team.
- Ensure accounting transactions are recorded accurately, completely, and on time.
- Review payment requests, supplier invoices, customer invoices, receipts, credit notes, and accounting entries.
- Ensure proper supporting documents and approvals are obtained before processing transactions.
- Monitor AP, AR, bank, cash, accruals, prepayments, and general ledger activities.
- Ensure finance operations follow company policies, SOPs, approval matrix, and internal controls.
Accounts Payable and Accounts Receivable
- Review supplier statement reconciliations and AP ageing.
- Monitor payment schedules and ensure payments are properly prepared.
- Review customer aging, collection status, and overdue accounts.
- Ensure customer receipts are properly recorded and allocated.
- Follow up on unmatched receipts, billing issues, credit note requests, and e-invoice related issues.
- Support intercompany billing, reconciliation, and related company transactions.
Bank, Cashflow and Reconciliation
- Review bank reconciliations and ensure reconciling items are resolved promptly.
- Monitor daily or weekly cash position.
- Prepare and monitor short-term cashflow forecast.
- Highlight cashflow concerns, large upcoming payments, overdue collections, or abnormal transactions.
- Ensure cheque receipts and bank-in matters are handled promptly.
Month-End Closing and Reporting
- Coordinate monthly closing activities and ensure deadlines are met.
- Review monthly account schedules and reconciliations.
- Review accruals, prepayments, AP, AR, bank, intercompany, and other balance sheet schedules.
- Assist in preparing monthly management reports and supporting schedules.
- Analyze major variances, unusual balances, and financial trends.
- Support year-end audit preparation and liaise with auditors when required.
Compliance and Internal Control
- Support SST, e-invoice, tax, audit, and statutory compliance matters.
- Ensure proper documentation and filing of accounting records.
- Identify control gaps, process weaknesses, or recurring errors.
- Recommend improvements to finance processes, workflows, and reporting.
- Escalate major issues, risks, or non-compliance matters to the Finance Controller.
Team Management
- Assign tasks and monitor the performance of finance team members.
- Provide guidance, coaching, and training to AP and AR staff.
- Ensure finance team members complete their daily, weekly, and monthly tasks on time.
- Build a disciplined, accurate, and accountable finance operations culture.
- Ensure proper backup arrangements within the finance team.
Requirements
- Candidate must possess at least a Bachelor’s Degree in Accounting, Finance, or related field.
- Professional qualification such as ACCA, CPA, CIMA, MICPA, or equivalent will be an added advantage.
- Minimum 5 years of relevant finance/accounting experience, preferably with experience supervising a finance team.
- Experience in managing AP, AR, bank reconciliation, month-end closing, and financial reporting.
- Good understanding of accounting standards, internal controls, SST, and basic tax compliance.
- Experience with ERP/accounting systems. Experience with Odoo will be an added advantage.
- Good leadership, communication, problem-solving, and analytical skills.
- Able to work independently, meet deadlines, and manage multiple priorities.
- Detail-oriented, responsible, and hands-on.
