What This Job Involves

Facilities Operations & Maintenance and Vendor Management

  • Assist in managing daily facilities operations, including building services, M&E systems, cleaning, security, landscaping, and waste management.
  • Monitor planned preventive maintenance (PPM) schedules and ensure timely execution and documentation.
  • Coordinate rectification works and follows up on defects, breakdowns, and urgent repairs.
  • Conduct routine site inspections and prepare observation and action reports.
  • Coordinate with service providers, contractors, and suppliers to ensure service levels meet contractual and operational requirements.
  • Monitor contractor performance, workplace safety, and compliance with site rules and statutory requirements.
  • Assist in preparing scope of work, quotations, work orders on improvement and rectification project and evaluation of vendor performance.
  • Coordinate site activities, timelines, and contractor access during project execution.
  • Support sustainability initiatives, energy‑saving measures, and ESG objectives where applicable.

Health, Safety & Compliance

  • Support implementation of health, safety, and environmental (HSE) policies and procedures.

Space & Workplace Management and Project

  • Assist in space planning, office moves, churn management, renovation and furniture layout coordination.
  • Support onboarding arrangements, desk setups, and workplace readiness.

Budget & Cost Control

  • Assist in monitoring facilities operating expenses against approved budgets.
  • Support cost control initiatives and identify opportunities for efficiency improvements.

Documentation & Reporting

  • Maintain accurate records of maintenance logs, statutory certificates, permits, and compliance documentation.
  • Prepare regular reports on facilities performance, incidents, service levels, and KPIs.
  • Assist in audits, inspections, and management reviews.
  • Prepare contract, enhancement work or rectification works proposal to Client

Stakeholder & Tenant Support

  • Act as a point of contact for internal users, tenants, and stakeholders on facilities‑related matters.
