Qualifications
- Graduate of Mining Engineering
- With at least 3 years of experience in project administration or a related role
- Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook)
- Strong organizational, documentation, and communication skills
- Willing to work in Makati
Key Responsibilities
- Attend meetings, record detailed and accurate minutes including attendees, agenda items, discussions, decisions, action items, owners, and deadlines.
- Prepare and format minutes in a clear and professional structure for quick reference.
- Distribute finalized minutes to stakeholders promptly and ensure acknowledgment when needed.
- Track action items from previous meetings and follow up with responsible parties to update status.
- Maintain an organized archive of all meeting minutes for easy retrieval.
- Manage the flow, storage, retrieval, and distribution of project documents, ensuring all records are accurate and up to date.
- Ensure all controlled documents are properly reviewed, approved, and issued according to company standards.
- Regularly audit document repositories to ensure consistency, completeness, and compliance.
- Assist project teams with compiling reports, presentations, and other project-related documentation.
- Coordinate with multiple departments to consolidate technical inputs and ensure timely submission of deliverables.
- Help maintain project records such as registers, logs, forms, transmittals, and correspondence.
- Support scheduling activities, organizing meetings, and updating calendars as required.
- Provide general technical and administrative support to engineers, project managers, and other team members.
- Act as a central communication point for document-related requests and updates.
- Ensure stakeholders are promptly informed of new document releases, schedule updates, and key decisions.
- Liaise with internal and external teams to ensure smooth document handovers and proper documentation procedures.
