Qualifications
- 3 to 5 years of hands-on Australian Visa Processing or Australian Migration Assistance experience, with expertise in migration administration, visa application preparation, skills assessments, and compliance-focused documentation.
- Demonstrated experience preparing Australian visa applications, skills assessments, EOIs, and migration-related documentation
- Proven experience managing visa applications, client records, supporting documents, and compliance-related documentation with a high degree of accuracy
- Exceptional attention to detail and strong data entry, record management, and document control skills
- Ability to follow established systems, templates, procedures, and regulatory requirements consistently
- Excellent organizational, workflow management, and time management skills with the ability to manage multiple applications and deadlines simultaneously
- Strong written English communication skills with experience preparing professional correspondence and client documentation
- Professional, reliable, and client-focused communication style
- Ability to work independently, manage priorities effectively, and maintain productivity with minimal supervision
- Experience using migration, legal, CRM, or case management systems is highly preferred
- Must be amenable to a project-based role with the potential to transition to full-time based on business needs and performance
- Must be willing to work in a fully onsite work arrangement
Responsibilities
Australian Visa Processing & Migration Support
- Support Australian visa applications, skills assessments, EOIs, and ROIs by preparing documentation, organizing application packs, and maintaining accurate case records.
- Collect, review, and track client documents while ensuring compliance with established migration processes and Registered Migration Agent requirements.
Client Administration & Case Management
- Maintain accurate client files, correspondence, CRM records, workflow trackers, and application milestones.
- Monitor visa, assessment, and client deadlines, following up on outstanding requirements and escalating urgent matters when necessary.
Accounts & Administrative Coordination
- Process invoices, receipts, Statements of Services, and service agreements while maintaining accurate financial and contract records.
- Monitor client payments and escalate discrepancies in accordance with established procedures.
Process, Documentation & Systems Management
- Update templates, forms, checklists, and internal documentation to support operational consistency and compliance.
- Utilize Google Workspace, Google Drive, Zoho CRM, Slack, Xero, WordPress, and migration-related portals to maintain accurate records and support daily operations.
Marketing & Team Support
- Provide administrative support for social media scheduling, newsletters, contact list management, and other business initiatives as required.
