1. Fleet Runner Planning & Daily Coordination

  • Support the Fleet Supervisor in planning and coordinating daily activities of fleet runners, including:
  • Vehicle retrieval and swapping for Puspakom inspections
  • Scheduled maintenance and workshop movements
  • Breakdown recovery and replacement coordination
  • Prepare and communicate daily task schedules to fleet runners.
  • Monitor job completion status and escalate delays or issues promptly.

2. Courtesy Vehicle & Yard Availability Management

  • Liaise closely with Fleet Supervisor and Yard Coordinator to:
  • Ensure sufficient courtesy vehicles availability at the yard to support daily fleet operations.
  • Coordinate vehicle movements to minimize downtime and customer impact.
  • Maintain updated records of courtesy vehicle status and deployment.

3. GPS Administration & Compliance Monitoring

  • Administer and monitor the GPS tracking system for all managed vehicles.
  • Ensure:
  • Full vehicle traceability at all times
  • Compliance with road regulations, usage policies, and geofencing rules
  • No unauthorized usage or tampering by leased customers or runners
  • Generate exception reports and escalate non-compliance cases to Fleet Supervisor.

4. Fleet Runner KPI & Incentive Administration

  • Track and administer fleet runner KPI performance, including:
  • Job completion timeliness
  • Compliance with procedures and safety requirements
  • GPS and fleet card discipline
  • Prepare monthly KPI reports and calculate performance-based incentives for fleet runners.
  • Maintain transparent and auditable KPI documentation.

5. Yard Reconciliation & Asset Control

  • Work closely with Yard Coordinator to ensure:
  • Weekly cycle count of fleet vehicles parked at the yard is completed
  • Physical vehicles are fully reconciled against system records
  • Investigate and report discrepancies, missing units, or documentation gaps.

6. Fleet & Toll Card Administration

  • Administer and control the daily issuance, usage, and return of fleet cards and toll cards for fleet runners.
  • Maintain accurate logs of:
  • Card allocation
  • Vehicle assigned
  • Purpose of usage
  • Daily reconciliation
  • Investigate misuse or irregularities and escalate immediately.

7. Reporting & Administrative Support

  • Prepare daily, weekly, and monthly operational reports related to:
  • Fleet runner activities
  • Vehicle movement
  • Compliance and exceptions
  • Maintain proper filing and documentation for audit and control purposes.
  • Support Fleet Supervisor in continuous improvement initiatives and process enhancements.
